Executive Administration Specialist 

OTR Engineered Solutions - Lanka is a subsidiary of OTR Engineered Solutions - USA and it is engaged in manufacturing of a wide range of steel rims, wheels and accessories for off road applications. We are a BOI registered company and has a global business network with marking its presence in the off - the road wheel industry for over 75 years. As we continue to grow, we are looking for an Executive Administration Specialist to empower our Senior Leadership team. The ideal person for the job will be a proactive problem solver with exceptional communication skills and a meticulous attention to detail. She should have previous experience working in a manufacturing environment, performing administrative duties and providing support to the Board of Directors. Given the changing nature of the executive landscape, we rely on our assistants for flexibility and foresight, while maintaining confidences related to high-level systems and operations.

KEY RESPONSIBILITIES
  • Generation of reports, data analysis and preparation of presentations required for the Board of Directors
  • Act as the central contact point for Board of Directors for client/ supplier and other stakeholder communications
  • Taking meeting minutes, communication of meeting minutes and follow up with action items discussed during the meeting.
  • Coordinate scheduling and extensive calendar management, as well as management of content and flow of information to senior Management team.
  • Organize team communications and plan events, both internally and offsite
  • Manage senior executives' travel logistics and activities, including accommodations, transportation, and meals.
  • Provide administrative and office support, such as proof reading, compilation of letters, reviewing of documents, spreadsheet creation, faxing, and maintenance of filing system and contacts database.
  • Maintain professionalism and strict confidentiality with all materials, and exercise discretion when interfacing with the business.

QUALIFICATIONS & REQUIREMENTS
  • A degree in Business Administration or related field
  • 4 years' experience in administrative role reporting directly to corporate management.
  • MBA will be an added advantage.
  • Superb written and verbal communication skills with a fluency in English
  • Strong time-management skills and the ability to organize and coordinate multiple projects at once.
  • Proficiency in Microsoft Office, analytical tools and other office productivity tools, with aptitude to learn new software and systems.
  • Flexible team player willing to do what it takes to get the job done; adaptable and enjoys a challenge. 
  • Ability to keep company confidences.
